Sponsorship Terms & Conditions
All sponsors and exhibitors are bound by the following terms and conditions to ensure a fair, professional, and environmentally responsible conference environment.
Eligibility and Reputational Screening
Sponsors may be screened for conflicts with UN sustainability goals
Organizations linked to illegal fishing, major pollution violations, or human rights issues may be rejected
ASCOA reserves the right to decline any sponsorship application without obligation to provide reasons
Payment and Confirmation
Sponsorship is confirmed only upon a signed agreement and full or agreed partial payment
Cancellation by the sponsor often incurs partial or full financial loss depending on the timing of cancellation
All financial terms will be specified in the individual sponsorship agreement
Brand Use
Sponsor logos must comply with ASCOA and venue branding rules and guidelines
Sponsors cannot imply UN endorsement in any marketing materials
Use of 'UN' branding or logos is heavily restricted and requires explicit written permission
Exhibitor Conduct
No misleading environmental claims ('greenwashing' clauses apply to all exhibitors)
No disruptive marketing, political campaigning, or unsafe demonstrations
All exhibitor materials and activities must align with the conference's environmental values
Data Protection
Attendees' contact lists are generally not shared unless explicitly consented by each attendee
Any data collected by exhibitors must comply with applicable data protection regulations
Force Majeure
Event organizers reserve the right to postpone or shift the conference online without refund obligations beyond certain predefined limits
In case of force majeure, sponsors will be notified promptly and alternative arrangements explored
Liability
Exhibitors assume full responsibility for damage, theft, insurance, and staffing of their exhibition booth
Organizers disclaim responsibility for any personal or property loss incurred during the event
Exhibitors are advised to arrange appropriate event insurance coverage
Compliance
Exhibitors must comply with all venue safety regulations
Shipping and installation deadlines must be met — late delivery cannot be guaranteed
All imported materials must comply with Cameroon customs regulations
